Johns Hopkins University Program Administrator in Baltimore, Maryland

The Center for Immersive Learning and Digital Innovation at the Johns Hopkins School of Nursing (JHSON) is an internationally recognized simulation and immersive learning center within the JHSON. The center support simulation-based education, research, and leverages multiple forms of technology to enhance the overall mission of the Johns Hopkins University School of Nursing including interdisciplinary education and healthcare delivery to promote patient safety.

We are seeking a Program Administrator who is part of the Simulation Center team. The Program Administrator reports to the Associate Dean for Simulation & Immersive Learning and works in close collaboration with the simulation team, Program Directors, faculty, and staff to operationalize the center’s objectives. Core responsibilities will include execution and continuous evaluation and improvement of the planned activities of the center including information management and sharing; oversight and coordination of the center’s educational and research endeavors; ensuring execution of day-to-day operations; budget and equipment management, and communication.

Specific Duties & Responsibilities

Program Management

  • Works directly with the Associate Dean for Simulation & Immersive Learning and the Director of Simulation to set up, modify, and implement protocols, policies, and processes that contribute to systematic management and infrastructure of the Center that is consistent with the mission of the JHSON.

  • Execution and continuous evaluation and improvement of the planned activities.

  • Support of the center’s day-to-day operations and the educational programs that the center supports.

  • Works with the simulation team and faculty to coordinate program scheduling and management of simulation and immersive learning and research activities related to simulation and immersive learning.

  • Contributes to the mission and goals of the JHSON institution-wide strategic initiatives, assuring compliance with accreditation and other applicable federal, state, and local regulatory agencies.

  • Supports and maintains the accreditation processes set forth by the Society for Simulation in Healthcare (SSH), including co-leading or assisting the accreditation lead in setting and adhering to timelines, collecting or creating documentation, and supporting accreditation committees.

  • Applies advanced knowledge of program management to optimize personnel development, fiscal and departmental operations, performance improvement, and program development.

  • Ensures that research, tours, and equipment requests related to simulation and immersive learning are coordinated with the simulation team.

  • Serve as the Center’s functional lead/administrator for simulation reporting systems. This includes, project management, designing and maintaining reports, meeting minutes, maintaining, and supporting simulation training programs.

  • Screens, triages, responds to, and follows up on all incoming communications in an efficient and organized manner.

  • Coordinate special projects that emanate from the Center for Simulation & Immersive Learning.

  • Coordinates educational opportunities internal and external to the JHSON including invitation management, tracking, and reporting responses, and handling other event details such as catering, location, and program evaluation.

Fiscal

  • Works with the Director of Simulation to develop an operational plan and budget and oversees the Center’s daily budget.

  • Assists in the preparation of the yearly operating and capital budgets, monthly reporting and management of departmental funds, joint administrative agreements, tracking of research grants, contracts, and affiliation agreements.

  • Prepares cost proposals for potential Simulation Center users and completes invoicing upon project completion.

  • Supervises grant budget management and financial functions, ensuring that tasks are completed in accordance with institutional policies and procedures.

  • Oversees all capital requests and expenditures; develops and maintains vendor relationships.

  • Maintains records of expenditure within university policies.

Additional Knowledge, Skills, & Abilities

  • Knowledge of and experience in technology applications for teaching, learning, and training.

  • Strong technical skills including proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook) required.

  • Demonstrated knowledge of project management processes and software applications.

  • Excellent communication skills and skills related to project organization, decision making and attention to detail.

Minimum Qualifications

  • Bachelor's Degree.

  • Two years related experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Bachelor’s Degree in Business, Accounting, Finance, Systems Operations, Healthcare Administration, or related field.

  • Three (3) years of managerial experience in operations or project and people management role or related experience.

  • Experience in healthcare and/or healthcare education highly desired.

Role/Level/Range: ATP/03/PB

Starting Salary Range : $45,700 - $80,000 Annually ($62,850 targeted; Commensurate with experience)

Employee group: Full Time

Schedule: Monday - Friday 8:30 -5:00
