Hopkins Athletics is a multidivisional department with 22 programs competing at the NCAA DIII level and two programs (men’s and women’s lacrosse) competing at the NCAA Division I level (BIG 10 Conference). The department also hosts a variety of robust recreational activities such as club sports, intramurals, and fitness programming.

The Hopkins Athletics Department seeks an innovative and forward-thinking Assistant Director of Business Operations . The Assistant Director of Business Operations must lead the processing, reconciliation, and review of all departmental expenses and assist with financial reporting and projections. The individual will be the subject matter expert on procurement processes within the athletic department at Johns Hopkins University. Demonstrating adherence to the department's philosophy, policies, and communication responsibilities is essential. Specific Duties& Responsibilities

  • Oversee and manage budget reconciliation and receipt depository for approximately 150 general and restricted fund centers.

  • Direct office accounting services, which include coordinating all aspects of purchase orders and payments to vendors, processing travel advances, reimbursements, journal transfers, managing student employees, and any other transaction items needed for the department.

  • Serve as department liaison between outside vendors and Johns Hopkins Procurement and Legal departments, submitting all contracts and communicating with all parties.

  • Generates informational budget reports, summaries, and/or financial statements and provides monthly ad hoc analysis for all athletic/recreation department budget owners.

  • Assists with compiling data for annual federal compliance and other reports.

  • Manage internal control procedures and departmental policy revision related to procurement, A/P, and A/R.

  • Provide training and communication to departmental staff regarding administrative budget procedures and policies.

  • Assists with lacrosse, postseason ticket reconciliation, post-event reconciliation, and reporting.

  • Maintains communication with vendors regarding payment processing, direct billing, purchasing procedures, and payment discrepancies.

  • Manage independent contractor/consultant contracts and service agreements, as well as implement any process changes proposed by internal audit and risk management related to these types of agreements.

  • Review and elevate current departmental processes and recommend improvements for automating and streamlining routine tasks.

  • Uses various software applications, such as spreadsheets/databases or presentation graphics packages, to assemble, manipulate, and/or format data for presentation to internal and external constituents.

  • Assist the associate athletic director with projecting, modeling, and making recommendations for increasing or creating new revenue streams within the athletic department.

  • Assist the Associate Athletic Director with H.S.A. quarterly finance meetings, including preparing relevant budget analysis/reports.

Additional Knowledge, Skills, & Abilities

  • Excellent written and oral communication skills and ability to work well with others.

  • Proficient in Microsoft Excel and data analysis.

Key Relationships

  • The Assistant Director of Business Operations is directly supervised by the Associate Athletic Director of Business Operations.

  • This position significantly interacts with faculty and staff, students, and other outside constituencies.

Physical Effort/ Environment

  • General office, athletic facility, and campus environment.

  • The position may require work outside and in inclement weather. Position involves sitting, although frequent movement is necessary.

  • Walking, standing, bending, twisting, and occasional lifting are required.

  • Computer usage involving repetitive and/or wrist motion is required.

  • The position will be a full-time, fiscal year appointment, with occasional evening and weekend work required throughout the year, with those dates determined by a supervisor.

Minimum Qualifications

  • Bachelor's Degree in Finance, Accounting, or other related field.

  • One (1) year of related progressively responsible experience.

  • Additional education may substitute for required experience, and additional related experience may substitute for required education to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • One year of experience in a collegiate athletics setting or equivalent combination of financial/accounting experience is preferred.

  • Knowledge of Oracle and/or SAP is preferred.
